Module 8: Logging Harvest Data & Exporting GPS Tracks
If you didn’t track it, it didn’t happen. That’s how this works.
Data is how we stay organic certified, how we prove sustainability, how we know what’s been harvested and what’s still out there. It’s also how you get paid.
This module covers how to properly log your harvest records, generate your bag tags, and export your GPS tracks. No mystery here. It’s just doing it right.
Using ODK Collect / GIC Collect
This is your main data logging tool. Android users use ODK Collect. iPhone users use GIC Collect. Same forms, same system.
Once you harvest chaga at each tree, open the Field Collection Form.
It logs:
- GPS location
- Date
- Species
- Weight
- And a few other things we need for traceability
Once you fill it out, the system automatically uploads the data into a our server once youre back in cell service
This form takes 30-60 seconds each tree and allows us to track valuable data to manage forest inventory levels and notify you when your location is harvestable again.
Logging Field Scout Forms
Didn’t harvest it? Still worth logging.
If you find a piece of chaga that’s:
- Too small (under 2 lbs)
- Too high to reach
- Unsafe to access
Open the Field Scout Form. Record what you found, tag the location, and move on.
Here’s the upside: if someone else harvests it later, you get a cut. Data equity. That’s how we keep people motivated to scout responsibly. You’ll be notified first that the forest is ready to harvest again but if you’re not avialble, we send you 15% of the pay when we provide the data to itger harvesters so it passive income for you
It’s better for the forest, better for the harvester, and ensures nothing gets taken before it’s ready.

Sanitation Logs this log is now built into the Log product form at day end to ensure they have to complete it in order to get paid.
Every day before heading out, complete the Daily Sanitation Log in ODK/GIC. This confirms that your tools, bins, and hands are clean before harvesting.
It’s part of staying compliant with food safety and organic standards.

Exporting GPS Tracks from Avenz into ODK / GIC , Garmin and Drive (ill write out these details once you approve the first set i sent over
You’ll track your GPS route using Avenza Maps while in the field. At the end of the day, you need to export that track into Garmin Explore.
Here’s how:
- Stop tracking in Avenza
- Save your track
- Export it as a layer
- Upload that layer into your Garmin Explore account
Name the file: FirstnameLastname_DATE
Example: JordanBenoit_04APR25
That file gets saved under your Garmin Explore account and can be shared with your team. It shows where you’ve been, what ground has been covered, and avoids overlap. It also proves your effort if there’s ever a question.
If the track isn’t there, we have no proof of where you were. No data, no pay.

Using Google Drive or Shared Folders
We’ll give you shared folders (Google Drive or Dropbox) to submit certain backups if needed. Always double-check what goes where and label everything clearly. Use your name and the date. Don’t send in something called finalfinal_realdraft2.gpx.
Clean labeling makes everyone’s job easier—including yours when it comes time to get paid.
